The late-window advantage — transfer until race eve

Here's what makes Queenstown genuinely different from almost every other marathon in the world: you can transfer your entry to another runner right up until 5pm NZT on Friday 13 November 2026 — the day before race day. Most marathons close transfers weeks or even months in advance. Queenstown keeps the door open until the very last afternoon.

This is genuinely unusual in endurance running

For comparison: London doesn't allow transfers at all. Gold Coast closes its window months before race day. Queenstown lets you transfer until 5pm the Friday before a Saturday race. If you're injured, unwell, or just can't make it, there's a real chance to legitimately hand your place to someone else — and a real chance for someone to pick up a last-minute place.

The catch is the fee model. Unlike Edinburgh, where the new runner pays the transfer fee, at Queenstown the $27 NZD fee is charged to the withdrawing athlete — you, the original entrant. Any reimbursement you negotiate for your original entry fee is a private matter between you and the new runner, and not something IRONMAN Group Oceania (the organiser) will arbitrate if it goes wrong.

You have a 2026 place but can't race — your options

Queenstown 2026 is Saturday 14 November — the marathon, half marathon, 10K, and Kids' 2.2K all run on the same day. If you've entered and can't race, here's the complete list of what's actually available to you:

If you have a recoverable injury or an unclear medical picture, transferring is often the cleaner option — you get (potentially) some money back from the new runner, and another runner gets a race. Only apply for the medical refund if you have clear documentation and transferring isn't practical. Don't just "not turn up" if either of the above would work.

How the transfer process works, step by step

Queenstown runs transfers through My Registration, the same account platform used when you originally entered. Both you and the new runner need a My Registration account.

Confirm the transfer window is still open

The window closes at 5pm NZT on Friday 13 November 2026. Log in to your My Registration account — if the Person-to-Person Transfer option is visible under Manage My Entry, you're still in the window.

Find a runner to take your place

Agree any reimbursement between yourselves

If the new runner is paying you back for the original entry fee, that's a private arrangement. IRONMAN Group Oceania doesn't facilitate or guarantee it. Use a safe payment method and confirm the money has arrived before initiating the transfer in My Registration.

Initiate the transfer in My Registration

Go to Manage My Entry, choose Person-to-Person Transfer, and enter the new runner's full name and email address. They'll receive an invitation to accept.

Pay the $27 NZD transfer fee

The $27 NZD fee (including all fees and taxes) is charged to you, the withdrawing athlete. Once paid and the new runner has accepted, the entry is fully transferred — their name, their emergency contact, their medical information.

Never run under someone else's name

If the 5pm deadline passes and you haven't transferred, the only legitimate outcome is to not race. Swapping a bib number unofficially — letting someone run under your name, or running under theirs — is a breach of the event terms and can result in disqualification and a ban from future IRONMAN Group events. Your emergency contact and medical information on the bib matter if something goes wrong on course.

Changing distance instead of transferring

If you can still race but the marathon is no longer realistic — training derailed, illness run through the peak weeks, lingering niggle — Queenstown lets you drop to a shorter distance rather than transfer or withdraw.

The deadline is the same — 5pm NZT on 13 November 2026 — and the process is through the Change Category option in your My Registration account. After 5pm on 13 November, distance changes can only be made in person at the Athlete Check-in Help Desk (race-weekend dates and opening times will be published closer to the event).

What exactly does "5pm NZT on 13 November" mean if I'm overseas?

NZT is New Zealand Time (UTC+13 during daylight saving, which is in effect in November). 5pm NZT on 13 November 2026 is roughly 3pm AEDT Sydney/Melbourne, 1pm AWST Perth, 4am GMT London, and 11pm Eastern Time the evening before (12 November). If you're arranging a last-minute transfer from overseas, work backward from this deadline in your own time zone — don't leave it until your evening of 13 November.

Can I transfer my entry to a friend who hasn't already entered the event?

Yes — they don't need to be a current entrant. They'll need to create a My Registration account when they accept the transfer invitation, and provide their own emergency contact and medical details. The transferred entry takes over their profile for this event. There's no separate fee for them beyond the $27 NZD you pay as the withdrawing athlete.

I've lost my place but I still want to come and support. Do I need a new ticket for anything?

Spectating is free — the course is public, and the Queenstown Memorial Centre finish area is open to friends and family. If you've booked an Event Shuttle (e.g. to Millbrook Resort for the marathon start) as an add-on, those are non-refundable and you'd need to either use it or forfeit it. You cannot transfer the shuttle separately from the race entry.

My flight got cancelled and I can't get to Queenstown. Will I get a refund?

No. Travel disruption is not a covered reason under the Athlete Withdrawal program. Flight cancellations, weather-related delays, and other logistics issues are your own risk — which is a standard reason to hold travel insurance for a destination race like Queenstown. If you know your trip is falling apart 24+ hours out, transfer to another runner before the 5pm deadline rather than writing off the entry entirely.

When do Queenstown 2027 entries open?

Queenstown Marathon typically opens the following year's registration shortly after the current year's race. Expect 2027 entry to open in December 2026 or January 2027. The event has sold out months in advance in most recent years, and tiered pricing (Super Early Bird, Early Bird, then standard) rewards early entry.
